Privacy notice

How enquiries and personal information are handled.

Privacy notice for review

This site requests your name, email, optional phone, location or enquiry topic, message and consent when you use a contact or membership form. These details are intended only for responding to your request and administering your application.

Newsletter delivery, notifications and school enquiries

Newsletter email is sent only to subscribers whose consent has been confirmed. Each email includes a cancellation link. Delivery records include recipient addresses and sending or delivery status; they are restricted to administrators. An email provider processes messages when delivery is connected.

School enquiries store your name, email, mobile number, class of interest and message. Administrators and assigned school representatives use these details to answer your enquiry and keep a private response history. Avoid sending identity documents or sensitive information in an enquiry.

Portal notifications are private messages for reviewers and submitting members. Approval decisions include a link to the approved update.

Mission updates

Authorised mission updates publish the mission name, activity, mosque address and photograph, and the names and contacts of its Chairman, Secretary General and Chief Imam. Submit only with the officers’ permission and rights to use the photograph. A private audit record retains the previous and updated information. Access codes are not published or included in the audit. Contact the secretariat to request correction or removal.

Membership registration

Online membership registration collects your names, date of birth, selected mission, new or existing member status, optional existing member number, mobile and email contacts, current residential address, and consent. A parent or guardian must supply their name, relationship, phone and consent when registering an applicant under 18. These records are stored privately by the website server for secretariat review; they are not displayed in the public directory or sent to the general enquiry webhook. Only Administrators can view full records, review membership status or export the private register. Other website users cannot access these personal details. Registration is not automatic approval of membership or a portal account. Email addresses and supplied membership numbers must be confirmed through the secretariat’s verification process.

Registration counts and mission breakdowns help authorised Administrators monitor applications. The optional newsletter preference is stored separately from registration consent; it does not automatically subscribe you to an external service. Keep your registration reference and contact the secretariat for corrections or withdrawal. AIMN must approve a retention policy before public launch.

Member accounts, submissions and mission chat

The private portal stores your account name, role, assigned mission, access-key digest, submitted content and files, review decisions, feedback and mission chat messages. Access keys are not stored in readable form. Essential secure session cookies support sign-in and expire after one hour. Members see their own submissions; editorial staff can inspect submissions, and authorised reviewers decide publication. Assigned mission participants and national reviewers can read their mission conversation. Chat is not public, and submitted photographs and recordings remain private until approval. Approved material appears on the website. Do not include private contacts, children’s personal records or sensitive information without appropriate permission.

Private activity records support account security and editorial accountability. The portal keeps up to 3,000 recent audit actions; AIMN must approve retention periods for accounts, submissions, files and chats before launch. Aggregate public page requests are counted since the current server process started; they are not unique visitor profiles. Ask the secretariat about correction, access or deletion.

Newsletter subscriptions

Newsletter opt-in requests collect your email, optional name, consent and request date in private server storage. Requests stay pending until an Administrator confirms consent. Administrators can view and manage these records; other roles cannot access subscriber details. Newsletter issues are public only after authorised publication. Once live email is configured, Administrators can send published issues to confirmed subscribers and view delivery records. Keep the private cancellation link shown after submitting to withdraw your request or unsubscribe. You can also contact the secretariat to request correction or removal. Existing membership newsletter preferences do not automatically create a newsletter subscription. A retention policy must be approved before launch.

Form delivery

In local preview, forms cannot send until an approved delivery service is configured. Submitted personal information is not stored in your browser. When connected, information is sent to AIMN’s configured HTTPS form service. Do not submit sensitive information or children’s personal records.

External services

Map and donation links open external services only when you select them. This site uses no third-party analytics, advertising cookies or tracking embeds by default. Your hosting and delivery providers may keep operational logs.

Your requests

Contact the secretariat to request access, correction or deletion of information you have provided. Verified privacy contact and retention details must be added before launch.
